How to convert PDF tables to Excel reliably

Updated September 30, 2026

A bank statement or invoice in PDF is easy to read but awkward to calculate with. PDF to Excel extracts positioned text into editable cells. The useful result is not merely a downloaded workbook: it is a table whose columns, dates and totals you have checked against the original.

Check whether the table contains text

Try selecting a number in the PDF. If selection works, you can usually extract it directly. If the whole page is a picture, run OCR PDF first. OCR can introduce character errors, and it does not guarantee that a photographed table will become a clean grid.

For Arabic and Russian scans, this site's OCR provides a text download rather than a searchable PDF text layer. Import or paste that text into a spreadsheet and arrange the columns manually instead of expecting the searchable-PDF workflow to work.

Choose a sheet layout before converting

Open PDF to Excel, add your PDF, and choose one sheet per page or all pages in one sheet. A single sheet suits statements whose columns repeat across pages. Separate sheets are easier to compare when every page contains a different table.

  • Keep an unchanged copy of the source PDF.
  • Choose the sheet option that matches the structure of the document.
  • Convert, download the .xlsx workbook, and open it in your spreadsheet application.

Repair shifted columns and repeated headings

Rows and columns are inferred from text coordinates, not imported from a real spreadsheet. Wrapped descriptions, merged cells and tables side by side can disrupt detection. Compare the first and last rows of each page, remove repeated headings, and move values that landed in a neighbouring column. Borders, colours and formulas are not reconstructed.

Preserve numbers, dates and identifiers

Check decimal commas, decimal points and thousands separators before doing calculations. A value that looks numeric can still be stored as text. Dates may follow a different regional order, and account numbers or product codes may lose leading zeros if your spreadsheet treats them as numbers. Set identifier columns to text before cleaning them up.

  • Compare row counts and totals with the original.
  • Inspect negative amounts, currency symbols and decimal separators.
  • Check names, dates and OCR-confusable characters such as O and 0.

Privacy and when to stop

PDF to Excel processes the document in your browser without uploading it. Device memory still limits large files. OCR separately downloads its engine and language data from a public CDN, which receives normal request information but not the document.

For a badly aligned table, asking for the original CSV or spreadsheet is often more reliable than repeatedly converting the same PDF. Treat extracted data as a draft until you have verified it, especially before using amounts for payments or accounting.

Frequently asked questions

Can I convert a scanned PDF to Excel?

For Latin-script scans, run OCR PDF first and convert the searchable result. Review every important number. Arabic and Russian OCR output is text-only here and needs manual spreadsheet import.

Will Excel formulas and formatting be preserved?

No. The converter extracts cell values from positioned text. It does not recover formulas, merged cells, borders or original formatting.

Why is a total different after conversion?

Check missing rows, shifted columns, repeated headings and numbers stored as text. OCR errors and regional separators can also change the interpreted values.
